Q. Will Journal Entries be made from OAKS to the CAS system for payroll information so that agencies currently receiving monthly CAS download files can continue to do reporting?
A.

Yes, there will be an interface from OAKS to CAS for payroll processing during the December 2006-July 2007 period.

Q. Will the Fixed Asset Management System (FAMS) continue to exist after the asset management implementation?
A.

All asset records maintained on FAMS will be converted to OAKS and FAMS will no longer be supported.

Q. Why was the grants module included in the original schedule, but not in the revised schedule?
A.

Originally, the grants module was included in the original implementation schedule. Over the past several months, the OAKS program management office (PMO) has determined that while the grants module enables users to record pre-award grant information, it does not meet the State's requirements for tracking post-award expenditures. The loss of the grants module does not mean that grants requirements will not be met in the OAKS system. Other PeopleSoft modules that are included in the implementation schedule will be used to meet the grants requirements and will include no loss of functionality from CAS. These modules will be used to record grant and project information, as well as allow for detailed tracking and billing of post-award expenditures. Full grants functionality is scheduled to be included in the July 2008 release.

Q. Is use of the OAKS fixed assets module going to be mandated?
A.

At this time, it does not appear that use of the fixed assets module will be mandated. The goal of the OAKS project team is to develop a system with superior functionality and efficiency, making OAKS desirable to agencies.

Q. Will OAKS simplify the inventory process?
A.

With the integration of the capital improvements, fixed assets, financials, human resources, and procurement business areas within OAKS, users will enter common financial data once, and the data will automatically be accessible to all applicable OAKS modules. This data sharing will eliminate duplicate data entry and increase the accuracy of stored data.
